The PDFEquips User's Guide: Every Tool, and When to Use It
PDFEquips has grown into a large set of tools, over fifty of them, and when there are that many, the hardest part is not using any single one. It is knowing which one you need. This guide is built to answer exactly that. Rather than listing tools alphabetically, it is organized by what you are actually trying to do, so you can find the right tool by starting from your task.
Everything here runs in your browser, with nothing to install, and works the same whether you are on a laptop or a phone. Here is the whole platform, grouped by the job you came to do.
Converting a PDF into another format
When you have a PDF and need it as something else, these turn it into an editable or usable file.
The PDF to Word tool turns a PDF into an editable Word document, and its premium option does an excellent job of preserving tables and complex layouts. The PDF to Excel tool pulls tables out into a spreadsheet, and PDF to PowerPoint rebuilds pages as editable slides. For developers and note-takers, PDF to Markdown converts a document into clean Markdown, and PDF to CSV extracts tabular data as CSV. To turn pages into images, PDF to PNG renders each page as an image at the resolution you choose.
Creating a PDF from something else
Going the other direction, when you have content that needs to become a PDF.
For documents, Word to PDF locks a Word file into a fixed, shareable PDF. For writing and AI output, text to PDF turns pasted text into a PDF, while Markdown to PDF is the one to use for anything copied from an AI chatbot, since it keeps the headings, lists, and tables intact. For pictures, JPG to PDF handles ordinary photos, HEIC to PDF handles iPhone photos, and the catch-all image to PDF tool accepts every common image format when you are not sure what you have or are working with a mix. And to capture a live web page, web to PDF saves any URL, or a whole list of them, as a fixed PDF copy.
Editing and creating
When you need to change what is inside a PDF, or build one from scratch.
The PDF editor lets you click any text and retype it, add images, shapes, and freehand marks, rearrange pages, and hand parts of the document to an AI assistant to rephrase, summarize, or translate in place. To start from nothing, Create PDF opens a blank page at a standard size, or generates a document from a prompt and loads it straight into the editor to shape.
Signing
When a document needs your signature. The sign tool lets you draw, type, or upload a signature and drop it onto the page, along with initials, dates, checkboxes, and free text, each one draggable and resizable to sit exactly where the form expects it.
Making scanned documents usable
Scanned PDFs look like text but behave like images, which is where these come in. The OCR tool reads the text out of a scan and returns a PDF that looks identical but is now searchable and selectable, the essential first step before a scanned document can be converted, searched, or copied from.
Translating
When a document needs to be in another language, the translate PDF tool converts the text while working to keep the document readable, so you get the meaning without the layout falling apart.
Managing pages and file size
The everyday housekeeping tasks. Crop PDF trims the visible area of pages to cut margins or focus on content. Merge pages places several pages onto one sheet, useful for handouts and saving paper. Compress PDF reduces file size to get a document under an email or upload limit, with a before-and-after readout so you can see exactly what was saved. And resize PDF scales pages to a different standard size, like A4 to Letter.
Two things worth knowing across the whole platform
A couple of features run through many of the tools and are easy to miss.
The first is batch processing. Almost every tool accepts more than one file at once, so you can convert or process a whole folder in a single pass and get everything back in one download, rather than repeating the same steps file by file. When several files need the same treatment, always reach for this rather than doing them one at a time.
The second is the AI assistance built into the editor, which can rephrase text in different tones, summarize passages, translate, or follow a custom instruction, either on a single selection or across a whole page. It turns the tedious rewriting and reformatting jobs into a click.
Finding your tool
The simplest way to use PDFEquips is to start from the task, not the tool. Decide what you are trying to do, converting, editing, signing, shrinking, translating, and the right tool follows from there. If you are ever unsure which format or tool fits, the image and document converters are forgiving, and the batch option means you rarely have to do repetitive work by hand. You can browse everything in one place from the full collection of PDF tools and pick whichever matches what you need right now.
